PreventaPro is a workplace wellness and ergonomics platform that helps organizations identify and reduce ergonomic risks, while supporting employees in preventing or managing soft tissue discomfort.
The platform is not a medical device or diagnostic tool, and information provided through it is educational only.

We collect and process the following types of information:

a. Manager/Administrator Information

  • Work email address for account creation and login.

  • Organizational and usage data related to platform management and participation metrics.

b. Associate/Participant Information

  • Access Codes: Unique system-generated codes used to participate anonymously.

  • Optional Contact Information: Associates may voluntarily provide a phone number and/or email address to receive reminders or notifications.

  • Program Data: Information about ergonomic habits, discomfort levels, and participation in wellness activities.
    Note: This data is de-identified and linked only to the anonymous system code.

 

3. How We Use Your Information

We use collected information to:

  • Operate and maintain the PreventaPro platform;

  • Provide educational and ergonomic guidance;

  • Send reminders or check-in messages (if you have opted in);

  • Generate aggregate, de-identified reports for employers to monitor workplace wellness trends;

  • Improve platform performance and functionality.

We do not share individual user data with employers unless you provide explicit written consent.

 

4. Data Structure and Confidentiality

To ensure privacy and confidentiality:

  • Contact details (email, phone) are stored separately from all other program or discomfort data.

  • Ergonomic and wellness data are stored under anonymous codes.

  • Reporting and analytics are based only on aggregated or de-identified data.

  • Employers receive summary trend reports, not individual records.

  • All data are encrypted both in transit and at rest.

 

5. Text and Email Communications

If you choose to provide contact information, you consent to receive communications such as:

  • Appointment or assessment reminders;

  • Program participation prompts;

  • Ergonomic or wellness check-in messages.

We ensure that:

  • No personal health or discomfort details are included in messages;

  • Message frequency depends on your program participation;

  • Standard carrier rates may apply;

  • You may opt out at any time by following unsubscribe or STOP instructions.

  • Mobile data is never is never shared or sold.

 

6. HIPAA and Privacy Compliance

PreventaPro is not a covered entity or business associate under HIPAA, as it does not handle personal health information (PHI) in a way that makes HIPAA applicable.
However, we maintain data protection practices consistent with Privacy Shield principles and applicable privacy regulations, including commitments to:

  • Collect only necessary data;

  • Encrypt and secure all information;

  • Restrict access to authorized personnel;

  • Never sell, rent, or share identifiable information for marketing or unrelated purposes.
